The Allen Valleys Local History Group (AVLHG) is legally obliged to protect the personal information you provide to us. We only hold those details which we need to contact members, in as far as you are willing to supply those details. These details are normally only available to those officials of the club who need to have them, e.g., office holders in the committee. 

Our legal basis for processing this data is our legitimate interest as a membership organisation. We use the data for the administration of your membership, the communication of information and the organisation of events. 

If you are content with the information that we hold, how we process it, how we currently contact you, etc, then you do not need to do anything. If you would like to amend your privacy settings please contact the AVLHG Secretary at avlhg.secretary@gmail.com.

What data we collect

The personal data we collect from you includes:

  • questions, queries or feedback you leave, including your email address if you contact AVLHG
  • your email address, postcode and address if you sign up as a member or attend one of our events as a non-member where you sign an attendance form to that effect

Why we need your data

We collect your personal data in order to:

  • respond to any feedback you send us, if you’ve asked us to
  • send email alerts to users who request them
  • monitor use of the site to identify security threats
  • monitor the performance of the site to identify inefficiencies and errors

The legal basis for processing personal data in relation to site security is the legitimate interests of our members and other users, and our legitimate interests in ensuring the security and integrity of Allen Valleys Local History Group.

The legal basis for processing data collected by AVLHG is your consent.

What we do with your data

The data we collect is not shared with other agencies and bodies. We will share your data if we are required to do so by law – for example, by court order, or to prevent fraud or other crime.

We will not sell or rent your date to third parties or share your data with third parties for them to market to you.

How long we keep your data

We will only retain your personal data for as long as it is needed for the purposes set out in this document or for as long as the law requires us to.

We will:

  • keep your email data until you unsubscribe
  • keep your feedback data
  • delete access log date which contains your IP address after 360 days

Children’s privacy protection

Our services are not designed for, or intentionally targeted at, children 13 years of age or younger. Should any child under the age of 18 attempt to join the Group, we require the consent of their parent/guardian and we adhere to our Child Safeguarding policy as set out in the Appendix to our Constitution.

Where your data is processed and stored

We run our systems to make sure that your data is as safe as possible at all stages, both while it’s processed and when it’s stored.

All personal data is stored in the European Economic Area (EEA).

How we protect your data and keep it secure

We are committed to doing all that we can to keep your data secure. We have set up systems and processes to prevent unauthorised access or disclosure of your data.

Your rights

You have the right to request:

  • information about how your personal data is processed
  • a copy of that personal data
  • that anything inaccurate in your personal data is corrected immediately

You can also:

  • raise an objection about how your personal data is processed
  • request that your personal data is erased if there is no longer a justification for it
  • ask that the processing of your personal data is restricted in certain circumstances
